The email assistant has four quick actions that check a saved campaign for accessibility problems and rewrite hard-to-read text in plain language.

You review everything first. Nothing in your email changes until you apply a fix or accept a rewrite.

Before you start

These actions are part of the email assistant, so they need the same access. The assistant appears only when AI features are enabled for your organization and the email campaign builder is turned on for your account. It is currently in early access. If you do not see it and would like it enabled, contact support.

The actions appear when you're working on an existing campaign in the new email builder. You won't see them while the assistant is creating a new campaign from scratch. Changes only save on a draft. If the campaign has been sent or scheduled, the check still runs but fixes are turned off.

Note: Plain language and Shorten can rewrite any text in your email, including meeting notices and other wording with legal requirements. If your email carries a notice, read every rewrite against the original before you accept it, and check with whoever is responsible for your notices.

What you can do with these actions

  • Check accessibility scans the whole email for problems such as missing alt text, low contrast, vague links, small text and skipped heading levels, and tells you its reading level.

  • Fix alt text shows only the image problems, with suggested alt text drafted for you to review.

  • Plain language rewrites the hardest blocks at a grade 6 to 8 reading level and shows you each one before and after.

  • Shorten trims long blocks and shows you each one before and after.

  • Apply all safe fixes corrects text contrast, button contrast, small text and layout table problems in one click.

Where to find it

Open an email campaign from the email campaigns list and choose New builder. In the toolbar, click Assistant, or press Ctrl+J (Cmd+J on Mac). The assistant opens as a panel on the right, and the four actions sit in a row under its header: Check accessibility, Plain language, Shorten and Fix alt text.

Clicking an action opens its panel and runs it right away. Click the same action again to close the panel and go back to your chat with the assistant.

The email assistant panel with the Check accessibility action selected. It shows a reading level of grade 12.4, a count of 3 to fix and 2 to review, an Apply all safe fixes button, and a Needs fixing list with an image missing alt text and a button with low contrast.

Step by step

  1. Click Check accessibility. The panel shows the email's reading level, then lists what it found under Needs fixing and Worth a look.

  2. If you see Apply all safe fixes, click it to handle the contrast, text size and layout table problems together. Fixed problems drop off the list. Anything that couldn't be fixed stays, with the reason.

  3. Work through the remaining rows one at a time. Depending on the problem, a row offers Apply or Apply suggestion, plus Edit to type your own value, Show in editor to find the block on the canvas, and Dismiss.

  4. Click Fix alt text. Read each suggestion and make sure it describes the image, then apply it or edit it first.

  5. Click Plain language or Shorten. Each block comes back with its before and after text and a line showing how the reading level or word count changed.

  6. Read each block, then click Accept or Reject. Accept all saves every remaining block at once.

  7. Click Check accessibility again to confirm what's left.

The checks run in code, and the assistant only proposes text

Finding problems doesn't involve AI. The checks are a fixed set of rules, so the same email gets the same findings every time. AI only comes in to draft text: a description of an image, clearer link or button wording, preview text, or a plainer version of a paragraph. That text is a suggestion until you accept it.

PublicInput compares each rewrite with the original when it's drafted and again when you accept it. If the rewrite changed a date, time, number, dollar amount, phone number, email address, link or merge field, or the block's images or formatting, it isn't saved and you'll see why. That comparison can't judge meaning, and it doesn't check names or places. A rewrite could keep every number and still get something wrong, so read it before you accept it.

The Plain language panel in the email assistant. A public hearing paragraph appears before and after the rewrite with the same date, time and section number, a line showing the reading level dropping, and Accept, Reject and Show in editor buttons.

Tips and limits

  • Plain language only picks blocks above grade 8. Shorten only picks blocks with at least 25 words. If nothing qualifies, the panel tells you.

  • Each rewrite request covers up to 12 blocks. Very long blocks are left out with a note, and you can edit those in the editor.

  • Fix alt text drafts suggestions for up to 25 images at a time. Run it again for the rest.

  • Some images are stored and reused across emails. For those, the panel tells you the alt text updates everywhere the image is used, and it can't be left blank. Only an image placed inline can be marked as decoration.

  • If you edit the email after running a check, you may see "The content changed since the scan." Run the check again and the fix will go through. The same goes for "This block changed since the suggestion" on a rewrite.

  • Assistant requests have an hourly cap per organization, and these actions count toward it.
