Managing Speakers During a Live Meeting

The Speakers tab is your live operations center for managing who speaks during a meeting. You'll use it to track registered participants, monitor attendance, manage the speaker queue, and communicate with participants while the meeting is in progress.

The tab updates in real time — you don't need to refresh to see new registrations, queue changes, or caller updates.


Layout

  • Left — Agenda Panel: The meeting agenda with checkboxes. Select one or more agenda items to filter the speaker tables on the right to only those items.

  • Right — Registered Speakers: Status bar, SMS reminder bar, filter and search controls, and two speaker tables (In-Person and By Phone).


Status Bar

At the top of the right column, the status bar shows:

  • Current viewers

  • Total viewers

  • Connected callers and total callers (same numbers as the Dashboard Live Stats)


SMS Reminder Bar

The SMS reminder bar becomes active when you've selected one or more agenda items in the Agenda Panel on the left.

Click Send Reminder to open a side drawer showing a prepared message and a breakdown of who will receive it. Use this to notify registered speakers a few minutes before their item comes up — for example, "Your item is coming up in 5 minutes. Please be ready."

Note: The Send Reminder button is grayed out until you select at least one agenda item on the left.


Filtering and Searching

  • Filter buttons — Quickly narrow the view to All, In Person, or By Phone participants

  • Search box — Free-text search across speaker names

  • Agenda Panel — Selecting items on the left filters both speaker tables simultaneously


In-Person Speakers Table

Lists everyone registered to attend in person. The table is sortable, paginated, and filterable. Use it to track in-room attendance and manage in-person speaking turns.


By Phone Speakers Table

Lists remote participants joining by phone. Same layout and controls as the In-Person table. If a participant switches between attending in person and calling in, they move between the two tables automatically.


Managing the Speaker Queue

Spoke toggle — When a speaker finishes their turn, toggle the "Spoke" indicator on their row to mark them as having spoken. This advances the queue and triggers a reload of the speaker list. Combined with the time limits set on each agenda item, this is how you keep the meeting moving.


Overflow Speakers

When a meeting-wide or per-item speaker cap is reached, additional registrants are marked Overflow. Their row shows an Overflow badge.

If a primary speaker drops out or doesn't show up, you can promote the next overflow speaker to take their place. SMS reminders can be sent to primary speakers, overflow speakers, or both.


Huddle

Huddle is a private group call feature that lets you pull a participant into a side conversation without interrupting the main meeting. When Huddle is active, a banner appears at the top of the Speakers tab with controls to start or end a huddle or invite a participant.

Note: Huddle is a plan-level feature. If you don't see it, contact your account manager to confirm it's available on your account.


Common Questions

The speaker tables are empty — why? Either no one has registered yet, or you've selected an agenda item in the left panel that has no registered speakers. Try switching the Agenda Panel selection or clearing the filter.

A speaker keeps jumping between the In-Person and By Phone tables. They're switching back and forth between attending in person and calling in. The system moves them automatically based on their current participation type.

I can't click Send Reminder. Select at least one agenda item in the Agenda Panel on the left — the button activates once an item is selected.

I don't see Huddle. This feature is gated by plan. Check with your account manager if you'd like it enabled.
