Using the Meeting Admin Dashboard

The Dashboard is the first tab you see when you open a meeting's admin page. It's your home base before, during, and immediately after the meeting — giving you a readiness checklist, live statistics, quick access to meeting details, and controls for phone prompts and documents.

Layout

The Dashboard is organized with:

  • A header with help links and the Live Stats strip

  • A left column with Meeting Details, Meeting Admin Actions, and Meeting Documents

  • A right column with the Meeting Wizard


Header and Help Links

At the top of the page you'll find two quick-access links:

  • Day of Guide — A support article with step-by-step guidance for running a meeting on the day of the event

  • Need live assistance? — Links to live support resources if you need real-time help during the meeting


Live Stats

The Live Stats strip shows three real-time numbers:

Stat

What It Means

Current Viewers

How many people are watching the live stream right now

Connected Callers

How many phone callers are currently on the conference bridge

Total Callers

Running count of unique phone callers since the meeting started

Note: All three stats read 0 before the meeting starts. If they remain at 0 once the meeting is live, the stream or phone line may not be connected — check the Meeting Wizard steps for video and phone.


Meeting Details

This read-only card shows a summary of your meeting's key information:

  • Meeting title, date, time, and timezone

  • Meeting code — The number callers enter to join the conference bridge

  • Admin PIN — The PIN a host uses when dialing in with elevated controls

  • Meeting URL — The public-facing meeting page link

Note: If Meeting code and Admin PIN don't appear here, the meeting has no conferencing configured. This is expected for In-Person format meetings.


Meeting Admin Actions

This panel lets you edit the three audio prompts that play on the conference bridge:

  • Welcome to meeting — Plays when callers first join

  • Your turn to speak — Plays when a caller is next in the speaker queue

  • Thanks for speaking — Plays after a caller's speaking turn ends

Each prompt has a system default. Any changes you make here apply to this meeting and to future meetings on your account.


Meeting Documents

Upload documents that will be publicly visible on the meeting page — for example, the agenda, supporting materials, or staff reports.

  • Drag and drop files or click to browse

  • Upload progress is shown as files are added

  • Uploaded documents are listed and can be removed

Note: Documents uploaded here are public-facing. Do not upload internal or sensitive materials.


Meeting Wizard

The Meeting Wizard is the most important part of the Dashboard. It walks you through a step-by-step readiness check to confirm everything is connected and working before the meeting goes live.

Wizard Steps

The steps shown depend on your meeting's configuration. Steps that aren't relevant to your meeting are hidden automatically:

  • Video — Confirms your streaming or conferencing platform is connected

  • Phone — Confirms the dial-in bridge is reachable

  • Audio test — Verifies the audio prompt plays correctly

  • Microphone — Confirms your mic is on; a separate "mic off" step follows for muting

  • Closed Captions — Confirms the captioning service is connected (only shown if Closed Captions is enabled)

  • Shield / Safety check — Final confirmation before going live

Step Status

Each step shows one of four states:

Failed

Red — with a "Connection failed" message and a retry option

When all steps are green, a WizardSuccess confirmation appears and your meeting is ready to go live.


How to Use the Dashboard

Before the meeting:

  1. Work through the Meeting Wizard from top to bottom

  2. Upload any documents participants will need

  3. Verify the Meeting Details card shows the correct code, PIN, and URL

During the meeting:

  • Keep the Dashboard open for at-a-glance Live Stats

  • Adjust phone prompts on the fly if needed from the Meeting Admin Actions panel

Immediately after the meeting:

  • Check Live Stats as a quick sanity check, then move to the Post Meeting tab


Troubleshooting

Issue

What to Check

Wizard steps are mostly red

Review Format and conferencing settings on the meeting

Meeting code / Admin PIN missing

Meeting has no conferencing — change Format to Virtual or Hybrid

Live Stats stay at 0 once live

Stream or phone bridge isn't connected — re-run the Video or Phone wizard step

No Closed Captions step in the Wizard

Expected — "Enable Closed Captions" is turned off on the meeting
