Registration settings control whether the public can sign up for your meeting, what information you collect, and how speaker sign-ups are managed. A well-configured registration form helps you plan for attendance, manage your speaker queue, and ensure accessibility.
Enabling Registration
Enable Registration is the master switch for the registration form. When it's off, no registration form is shown on the public meeting page. All other registration settings depend on this being turned on.
Attendance and Accessibility
In-person attendance required — Adds a question to the registration form asking whether the registrant plans to attend in person. Use this for headcount and capacity planning.
Accessibility accommodations — When on, registrants can request accommodations such as ASL interpretation or mobility access. You configure which accommodation types are available from a multi-select list.
Speaker Registration
Speaker Registration — When on, the registration form includes a "Speaker" option so participants can sign up to speak. All speaker-specific settings below require this to be enabled first.
Speaker Limits and Timing
Registered speaker limit — Sets a meeting-wide cap on the total number of speaker registrations. Once the limit is reached, additional registrants are placed in Overflow or registration closes, depending on your overflow settings.
Registration deadline — How many minutes before the meeting start that speaker registration closes. This gives you time to finalize your speaker list before the meeting begins.
Registration open time — When speaker registration first becomes available. Useful for high-demand meetings where you want a clear "registration opens at X time" window so everyone has a fair chance to sign up.
Agenda-Item Sign-Ups
Require registration by agenda item — When on, speakers choose which agenda item(s) they're signing up to speak on during registration. This helps you know in advance how many speakers to expect for each item.
Limit per item — Caps the number of speakers per agenda item. Once an item's cap is reached, it closes for new sign-ups.
Disposition and Translation
Collect speaker disposition on requested agenda items — When on, the registration form asks each speaker whether they are For, Against, or Neutral on the item(s) they're signing up for.
Translation services — When on, registrants can indicate their preferred language. Use this to staff interpreters in advance. When enabled, you can also configure a "translation double time" setting that gives non-English speakers additional speaking time.
Speaker Time
Speaker session time limit — Sets how long each speaker gets. You configure a base time per agenda item. If translation services are enabled, you can also set an optional additional time allotment for speakers using interpretation.
Confirmation and Reminder Emails
Registration confirmation email — When on, the system automatically sends a confirmation email as soon as someone registers. The email includes meeting details, the join URL, and any conference credentials you've configured.
Reminder email 4 hours prior — When on, a reminder email goes out to all registrants four hours before the meeting starts. You can customize the subject line and body text.
Dial-Out Option
Registrants can request dial-out at meeting start — When on, registrants can ask the system to call them at the meeting's start time instead of dialing in themselves. This is helpful for participants who may have trouble remembering to call in.
