Generate meeting minutes with AI Meeting Minutes

AI Meeting Minutes creates a formatted first draft of your meeting minutes directly from your meeting's transcript. Use it after a meeting to save time writing minutes from scratch.

Important: AI Meeting Minutes produces a first draft. Review and finalize the draft before treating it as your official record.

Before you begin

  • You need admin access to use this feature.

  • The meeting you want to generate minutes for must already have a transcript.

  • You'll need a Word document template (.docx, 10MB max). The AI uses the template's headings and formatting to structure your minutes — it doesn't require specific placeholder text.

Upload a minutes template

You only need to do this once per project. The template applies to every meeting in that project.

  1. Go to the Post-Meeting tab on your meeting's admin page.

  2. In the AI Minutes section, drag and drop your Word template into the upload area.

To update your template later, upload a new file. It replaces the existing template.

Generate minutes for a meeting

  1. Go to the Post-Meeting tab for the meeting.

  2. Find the transcript in the list. Generate Minutes only appears next to transcripts with a Completed status.

  3. Select Generate Minutes, then confirm in the dialog that appears.

Generate Minutes is disabled if you haven't uploaded a template yet

The button updates to show progress:

Note: You don't need to keep the page open while minutes generate. Status updates automatically, even if you navigate away or refresh the page.

Download and review your minutes

  1. In the Generated Minutes list on the Post-Meeting tab, find the meeting marked Complete.

  2. Select the download button to get the Word document. The document follows your template's structure and is aligned to your meeting's agenda.

  3. Open the document and review it:

    • Check speaker attributions and statements against the transcript or your own notes.

    • Confirm formatting matches your final-record standards.

    • Make any corrections directly in the document.

Once you've reviewed and corrected the draft, it's ready to use as your official minutes.

Troubleshooting

Generation fails (status shows Retry) Select Retry to try again. If it fails a second time, note the error message shown and contact support with the meeting name and error text.
