Overview
The CivicClerk integration connects PublicInput directly to your CivicClerk account and automatically imports your meetings, agendas, and committee records. Once connected, PublicInput stays in sync with CivicClerk every 15 minutes — so when your clerk updates an agenda in CivicClerk, those changes appear in PublicInput automatically.
This is a one-way sync: CivicClerk remains your source of truth for agendas and meeting records. PublicInput reads from CivicClerk; it does not write back to it.
What gets imported
When you connect CivicClerk, PublicInput imports:
Committees and boards — all public legislative bodies from your CivicClerk account become Boards & Commissions in PublicInput
Meetings — upcoming and recent past meetings for each body, including title, date, time, and location
Agendas — full structured agenda with sections (e.g., Call to Order, Consent Calendar, Public Comments) and numbered items
Agenda item details — item number, title, description, and status
Attachments — staff reports and supporting documents attached to agenda items
Video — published meeting video URLs, where available in CivicClerk
Example: A Sacramento City Council meeting imports with 73 agenda items across sections including Roll Call, a 22-item Consent Calendar, and multiple hearing sections — structured exactly as it appears in CivicClerk, with item numbers like "6.1" and labeled sections like "Consent Item - 10 Day Contract."
Before you begin
You'll need your CivicClerk Tenant ID — the subdomain portion of your CivicClerk portal URL.
For example, if your portal is at coltonca.portal.civicclerk.com, your Tenant ID is coltonca.
No API key or login credentials are required. The integration uses CivicClerk's public OData API.
How to connect
In PublicInput, go to Settings → Integrations
Select CivicClerk
Enter your CivicClerk Tenant ID (e.g.,
coltonca)Set Days to sync past meetings (1–365) — how far back to import historical meetings
Choose whether to enable Auto-import committees (see FAQ below)
Optionally set a Default destination department to route imported boards to a department
Click Connect
PublicInput validates your Tenant ID against the CivicClerk API before saving. If the subdomain can't be reached, the connection will fail — double-check your portal URL.
What happens after connecting
First sync: PublicInput imports all public committees/boards and meetings within your configured date range. Depending on the volume of meetings and agenda items, this may take a few minutes.
Ongoing sync: After the initial import, PublicInput checks for changes in CivicClerk every 15 minutes. New meetings, agenda updates, and newly published documents appear in PublicInput automatically.
Monitor sync status and run history in the Sync History tab on the CivicClerk settings page.
Managing the integration
Manual sync: Trigger a sync at any time from the settings page without waiting for the next scheduled run.
Sync history: The Sync History tab shows recent runs, what was created or updated, and any errors.
Disconnecting: Use the Disconnect and Clear Imported Data button to remove the integration and delete all imported meetings and boards. You can reconnect later by re-entering your Tenant ID.
Frequently asked questions
Is the sync one-way or two-way?
One-way. PublicInput reads from CivicClerk; it does not write back. Clerks continue managing agendas in CivicClerk, and PublicInput reflects those changes within 15 minutes.
How often does it sync?
Every 15 minutes on production. Changes made in CivicClerk will appear in PublicInput within approximately 15 minutes.
Will all my committees and boards be imported?
If Auto-import committees is enabled, all public legislative bodies in your CivicClerk account are imported on the first sync. The import is all-or-nothing — you cannot selectively include or exclude individual committees. If certain boards shouldn't be in PublicInput, you can archive them manually after import.
What status do imported agenda items get?
All agenda items imported from CivicClerk default to Open status, making them available for public speaker sign-ups. You can manually close individual items after they've been heard.
I see duplicate boards after connecting. What should I do?
Duplicates can appear if boards were manually created in PublicInput before the integration was set up. Archive or delete the manually created duplicates and keep the integration-managed versions — those will stay in sync automatically.
I disconnected the integration but my boards and meetings are still there.
Use the Disconnect and Clear Imported Data button — not a simple disconnect — to remove all imported data. If boards re-appeared after disconnecting, the integration may have re-synced before being fully cleared. The clear function removes all imported boards, meetings, and agendas.
Can I control how far back meetings are imported?
Yes. The Days to sync past meetings setting (1–365 days) controls the backward import window. The forward sync window always covers the next 365 days.
Do I need a CivicClerk API key or login?
No. The integration uses CivicClerk's public OData API — only your Tenant ID is required, no credentials needed.
Why aren't my meetings syncing in a test or staging environment?
Automatic 15-minute sync only runs on production. In non-production environments, sync must be triggered manually from the CivicClerk settings page.
What happens if I enter the wrong Tenant ID?
PublicInput validates the Tenant ID on save. If the subdomain doesn't resolve to a live CivicClerk endpoint, the connection will fail with an error. Verify the subdomain from your CivicClerk portal URL (e.g., yourorg.portal.civicclerk.com → Tenant ID is yourorg).
