The Participant Information window displays the participant's:

the participant has called to leave a project or meeting voicemail, live meeting comment, or listen to a meeting.

a list of the individual's all-time engagement activities across projects.

Custom field(s) can be added by request. Reach out to your organization or agency's PublicInput account holder to coordinate with your PublicInput CSM.

**A rough estimate of the participant's location will be displayed on a map to the right of the listed information, based on the participant's IP address.
This is true unless the participant is using a VPN or otherwise location-protected network. In this case, location information is inferred by area code or zip code, if also provided/requested in an engagement activity (e.g. a contact info question.)


There are many different places within the PublicInput platform to find, view, and export Participant Information (a.k.a. CRM Data.)

The CRM

The CRM – a.k.a. the Customer Relationship Manager or Resident Database – is the main repository for Participant Information and activities across all data collection efforts, including survey initiatives or projects, or meetings hosted in PublicInput.

Here, you'll find a list of all-time Participants.

To view an individual's Participant information, you can:

  • Search for an individual by name or other field (email, phone, etc.) in the search bar, and/or

  • click the "person" icon in the Name column

The Participant Information window will be displayed.

The Email & Text Tab: Text Threads

The Email & Text tab is located on the left navigation bar, and is mainly used to send outbound email and texts. You'll also find a record of all inbound SMS/text responses to outbound text messages and text-survey initiatives sent via PublicInput from across your organization.

Click the Text Threads tab at the top of the page to view these responses:

Here you can click on an individual text response thread, listed on the left, or use the search bar at the bottom to search for a specific individual by name, phone number, etc.

When you click on a text thread, that participant's CRM Data will appear in the blue panel to the right of the text thread, and displays the same data you would find in the CRM's Participant Information window.


Project-specific participant information:

The Project Participants tab

Here, you'll find the project's Participant Map and a list of all Participants.


Participant Map

Once your project begins to receive responses, you'll see individual map pins representing participant locations, or concentrated map "clusters" of grouped participants in a concentrated area. You can "de-cluster" your map pins to view individual pinpoints by clicking Toggle Clustering in the bottom right corner of the map:

Click an individual pinpoint on the Participant Map to view the individual's Participant Information.

You can click the Database Record button to view the same Participant Information window you will see in the CRM, and in other locations.

The Participant Map can also be added to a report.

Participants List

The Participants list allows you to view participant information at a glance.
This list contains the Participant's:

  • name (or "Anonymous" if not provided/requested)

  • email (if provided/requested)

  • phone (if provided/requested)

  • any segment(s) they have been added to (if segment criteria is matched)

  • location ( estimated based on IP address if not provided/requested**)

  • participation source – online, mobile, text, etc.

  • & actions – a list of the engagement activities the participant has completed

You can download a .CSV of all project-specific participant information by clicking Download Participants List in the top right corner.

To view an individual's Participant Information, you can:

  • click the "person" icon or the Participant's Name in the Name column
    (also works for "Anonymous")
    OR

  • Click Participant History icon (clock) in the Actions column

NOTE: Be careful not to click the "Delete" icon! It's the chat bubble with an "X" icon. That will archive the participant's responses and remove them from your project participant data. It's reversible – meaning it can be restored – however, do your best to avoid unintentionally archiving participant data.

Either of the options listed above will display the Participant Information window.

The Text tab

Scroll down to the bottom of the Text tab to locate the Latest Responses display. This shows individual text responses received for text-enabled survey projects. Here you can click on an individual text response thread, listed on the left, or use the search bar at the bottom to search for a specific individual by name, phone number, etc.

When you click on a text thread, the participant's associated CRM Data will appear in the blue panel to the right of the text thread, and displays the same data you would find in the CRM's Participant Information window.

Note: The Text tab only displays text-enabled survey project responses received via SMS/text. If you have not enabled the text survey, or have not received text responses, there will be no text threads to view and no CRM Data to display.


Meetings & Offline tab: Meeting Participants (or Registrants)

Under each meeting in the Meetings & Offline tab, there is a sub-tab for meeting Registration, as well as meeting Participants. Participants are those who attended the meeting, as opposed to those who registered, but may or may not have attended.

Click PARTICIPANTS under the specific meeting for which you would like to view or download the meeting-specific Participants list:
